How to charge for monthly computer maintenance
Charging monthly, instead of per call, gives the technician predictable income and the client peace of mind. The key is to make clear what is included and to prove, every month, what was done. Here is how to build your contract.
1. Define what is included
- Monitoring of the PCs and alerts before something stops
- Unlimited remote support, or a number of hours per month
- Preventive maintenance: cleanup, updates, disk checks
- On-site visits: included or charged separately
- Response time for each type of request
2. Price per machine
The easiest way to explain it to the client is a price per computer per month, with a minimum per company. Adding the average time each machine takes per month to your tool costs gives a starting point; adjust for your market and the service level you promise.
3. Prove the work every month
A client who doesn't see the work feels they pay for nothing. Send a monthly report: what was monitored, which alerts came up, what was fixed and the before and after performance.
